Job Description

The European Molecular Biology Laboratory (EMBL) is one of the highest ranked scientific research organisations in the world. The Headquarters Laboratory is located in Heidelberg (Germany), with additional sites in Grenoble (France), Hamburg (Germany), Hinxton (UK) and Monterotondo (Italy).

The Assistant will report to and closely work with the Head of IT to support the organisational and administrative activities in the day-to-day business of the EMBL IT Services. This will include the following key responsibilities:

  • Provide administrative and secretarial support, including e.g. developing documents, preparing briefing papers, presentations and reports;
  • Handle travel arrangements and related reimbursements;
  • Organise, prepare and monitor meetings, visits, workshops and conferences - supported by the EMBL Conference Office -, including follow-ups;
  • Prepare and update on-line communication, media and related documentation;
  • Monitor and report on the IT budget, resource capacities and projects;
  • Support EMBL IT Services’ international collaborations and projects by ensuring efficient communication, coordination and reporting;
  • Support efficient communication of the department with the institute’s leadership and stakeholders, the users inside and outside of EMBL as well as the IT suppliers;
  • Support continuous improvement of overall efficient EMBL IT service delivery by continually developing and adapting procedures;
  • Perform other tasks as assigned by the Head of IT Services.

Qualifications and Experience

The successful candidate will be educated to degree level or equivalent, and possess excellent secretarial, administrative and organisational skills. S/he will be able to pay attention to detail, used to work towards challenging deadlines and able to complete multiple parallel tasks efficiently, effectively and in a timely manner with patience and maintaining good humour. Equipped with strong interpersonal, verbal and written communication skills the appointed applicant will be able to interact with people in a friendly and professional manner. Outstanding capability to work in a team is essential for this position. S/he must have an excellent command of English and spoken and written knowledge of German. Good working knowledge in other languages, especially French, is desirable. The person selected should have advanced Microsoft Office skills and should be very competent in web research and using on-line communication, ideally including corporate use of social media. The post holder must be service-oriented, possess good judgment, respecting confidentiality and able to maintain effective working relationships in a multi-cultural environment.
