Purpose of the Position
This position reports to the Executive Manager. The incumbent of the post will provide administrative, secretarial, planning and research support services to the office of the Deputy Executive Director. Under the overall guidance of the Executive Manager, and in collaboration with colleagues throughout the Office of the Executive Director, the incumbent will be responsible for the timely and consistent running of the administrative responsibilities of the office. This involves creating effective systems to manage requests on the Office's time, management of confidential information and coordination of sensitive matters within a substantive high-level team. The post is a key interface with a broad range of contacts including high-ranking officials, both within and outside of the organization. The incumbent of the post will prioritize tasks and organize work independently based on general direction from the supervisor.
Due to the nature of the duties, the incumbent of this post must possess the ability to concentrate on a number of diverse subjects, often simultaneously, demonstrate initiative and remain abreast of all developments affecting the team.
Key Expected Results
- Provides administrative, secretarial, and planning support services to the Deputy Executive Director and Executive Manager to facilitate smooth running of the Office and effective processing of information and data. Exercise discretion of confidential information and complex sensitive subject matters.
- Manages the immediate office operations with respect to communications, meetings, time management and work flow. Takes responsibility for efficient planning by identifying complex or sensitive subjects, as well as priority issues, which need to be brought to the supervisor's attention.
- 3Initiates and contributes to effective preparation and knowledgeable delivery of correspondence and communications, documentation and reports contributing to the achievement of work objectives.
- Contributes to well-managed and effective office operations, systems and procedures that facilitate team work and the overall work of the offices.
- Undertakes research projects and special assignments pertaining to the substantive areas on ad hoc basis.
Qualifications of Successful Candidate
- Completion of Secondary Education (e.g. High School Diploma) is a minimum requirement. A first level university degree (Bachelor's) is highly desirable.
- A minimum of six (6) years of relevant work experience in provision of administrative support is required.
- Previous hands-on experience in planning, organizing and delivering administrative support services to senior executives is highly desirable.
- Advanced knowledge in the Microsoft Suite of Products (including MS Word, MS Excel & MS PowerPoint) is required.
- Passing the GGST Exam (Global General Service Test) or UN ASAT in English is required.
- Non-US candidates must be in possession of a US G4 visa or be a US permanent resident/citizen.
- Fluency in English (verbal and written) is required.
- Knowledge of an additional UN Language (Arabic, Chinese, French, Russian, Spanish) is considered an asset.
